Prime Bid Version 8.2

Prime Bid 8.2 is an upgrade to Prime Bid Professional based on the requests of many of the Prime Bid end users. This release focuses on the additional capabilities that support the closing process and the invitation to bid process. In addition, there are improvements to the integration with cost accounting, an Excel-based platform for producing customized reports. The following is a brief description of each of the new features in Prime Bid 8.2.

Matrices View Features

1. Multiple Partial DBE Bids

In earlier versions of Prime Bid only one partial DBE bid amount could be associated with a bidder. Now there is provision for multiple partial DBE amounts to be associated with a bidder. The partials are displayed in the DBE Analysis window and can used to solve for the best DBE possibilities and/or be used when a vendor is required in a matrix.

2. Display Vendor Preference Color in the Vendor Lookup Window

A vendor preference color is assigned to a vendor rating. A good vendor (rating 5) can have a green color associated with it and a bad vendor (rating 1) can have a red color associated with it. The user can define the rating numbering and color assignments. The vendor rating's color will be displayed in the vendor's text in the vendor database lookup window.

3. Show the Scope Item Preliminary Unit Price in Vertical View Matrices

Display the scope item preliminary value unit price in the vertical view of the matrices. Previously this value did not display. Click to see a screenshot.

4. Mark/Colorize Scope Items in Matrices

Any scope item in the matrix vertical view can be "marked" (selectively singled out), and that marked scope item's background color will change to the color set in the font and color preferences. The normal background color for a scope item is a 5% gray scale. The default marked background color for a scope item is a 10% gray scale.

5. Font Size/Selection for Sections and Scope Items in the Vertical View Matrices

The font size and type for the section names and the scope items can be individually selected for the vertical view in the matrices. This makes it easier to differentiate between a section and a scope item in the matrix view.

6. A New Field for Manufacturer Name in the Matrix View

Add a new field for Manufacturer Name in the Matrices view that will associate that manufacturer with the bidder in the matrix. The name will show up in several filters in the Sections view. The Manufacturer Name row in the vertical Matrices view can be hidden with a preference setting in the Matrices Display Preferences window.

Sections View Features

7. Manufacturer Name Field Added into Divisions — Details and Matrix Recap — 5 Categories Filters

In the Divisions — Details and Matrix Recap — 5 Categories filters the manufacturer name field has been inserted after the materials supplier field in the Divisions — Details filter and after the vendor field in the Matrix Recap — 5 Categories filter. This allows the information to display in the filters and aide in the review of the bid for completeness.

8. New Manufacturer Summary — Used Filter

This new filter shows the winning bids from the matrices that have a manufacturer name. This filter works similarly to the Sub Listing — Summarized filter.

9. New Manufacturer Summary — All Bids

This new filter shows all of the bids from the matrices that have a manufacturer name. This filter displays the winning and non-winning bids in order from high to low for a matrix.

10. Multi-User Capability in the Bid Vendor Database Filters

This allows multiple users to be logged into the same bid file who can edit the information in the bid vendor database filters. This facilitates multiple users accessing a call list and updating the results of the calling effort.

11. Display the Vendor Preference Color in the Bid Vendor Database Filters

A vendor preference color is assigned to a vendor rating. A good vendor (rating 5) can have a green color associated with it and a bad vendor (rating 1) can have a red color associated with it. The user can define the rating numbering and color assignments. The vendor rating's color will display for the vendor's text in the Bid Vendor Database filters.

12. A New Check Mark Column in the Bid Vendor Database Confirmation Filters for Left Message

Add a new response check mark column for Left Message in the Bid Vendor Database Status (confirmations) filters. This allows a notation that the vendor was contacted and there was not a specific response to the bid invitation.

Broadcast E-Mail Features

13. Filter to Selected Vendors in the Edit Bid Vendor Database Window for the Bid Vendor Database

The bid vendor database in the bottom of the Edit Bid Vendor Database window can be selectively filtered down to fewer vendors by selecting the vendors to be filtered down to and then selecting the Filter Vendors button and then selecting Show Selected or Show Unselected. This will reduce the number of vendors that display. For instance, if you wanted to send only the electrical contractors a notification by broadcast fax or email, you could select these vendors and then show only selected vendors. The resulting list of electrical contractors would be the list for a broadcast sent out under this condition.

14. Select Vendor Data Fields to Display in the Database in the Edit Bid Vendor Database Window

In the Edit Bid Vendor Database window, for the source and bid vendor databases, the fields that display can be selected from all the vendor database fields, and can be reordered as desired. This customizes the fields that display to show the most relevant information for a vendor based on the user's preference. The fields are selected in the Preferences For Vendor Databases window from all of the fields in a vendor record.

15. Sort By Main Section or Sections in the Bid Vendor Database in the Edit Bid Vendor Database

Select to sort the bid vendor database by Main Section or by Sections in the Edit Bid Vendor Database window. This allows vendors to display multiple times in the bid vendor database for determining if a secondary section is being covered by a subcontractor. The option displays in the middle bottom of the Edit Bid Vendor Database window as a drop down list.

16. Radius Lookup Criteria for Miles from a Zip Code

In the Bid Vendor Database Lookup Criteria window there is a new option to narrow the selection list in the source database by distance in radius from a zip code. The distance criteria when applied will display the vendors whose zip codes are within the radius distance in miles from the input zip code. Zip codes' geographic coordinates are set by a center-point to center-point distance measurement.

Summary View Features

17. Add % Adjustment to Cut/Add by Matrix in Matrix Cut/Add Summary View Recap

In the Matrix Cut/Add Summary Recap, a percentage adjustment had been added to the lump sum adjustment for placing a cut/add against a matrix value. The new percentage adjustment can be set and the amount of cut/add will recalculate with every new solution in the matrix. The lump sum amounts remain static when input. A percentage value will display when a lump sum cut/add amount is input.

18. Clear All Sections and Scope Items that Have No Values

A new option to clear all of the sections and scope items in a bid file that have no quantity or dollar amount associated with them. This allows the end user to start with a template of sections and scope items, which after quantifying the ones that apply, the user can clear out all of the unused items in the bid file.

Integration Features

19. Additional Preset Cost Accounting Budget Export Formats

Additional preset cost accounting budget export formats are available from the Job Cost Budget Export menu. New preset formats for saving the budget file in the appropriate format are made for CMiC, Spectrum, A Systems and more.

20. Integration with Contract Payment Manager

Prime Bid has a preset data export format set up to send billing items from within Prime Bid into Contract Payment Manager. The scope items within the sections are used as pay items beneath a phase in Contract Payment Manager. The billing items are set up with a job cost phase for the section that then designates the scope items within the section as billing items.

Refinements

21. Vendor Database Synchronization Enhancements

Small but important adjustments were made to the Vendor Database Synchronization. The changes insure that user input data will not be altered without the user's verification.

22. Send Bid History to Master Vendor Database Enhancements

Adjustments were made to the sending the Bid History to Master Vendor Database including using the updated synchronization for adding new vendors from the bid to the master vendor database as well as performing updates on existing vendors.

23. New Preference for Decimal Places for Bond Percentages in the Matrices

Bond Percentages can now have the amount of decimal places specified for inputting bonding calculations.

24. Adjustment to Matrix Bid Report that Adds Columns for Included/Excluded

New columns are added for vendors to indicate that a section or scope item is included or excluded in their bid amount in the report.

25. Double Click in a Notes Cell to Bring Up the Floating Notes Window

When in a notes column in a matrix, a double click will bring up the Floating Notes window.

26. A New Preference for a Scope Item Value of Zero to be Displayed as a Zero or as a Blank

When a scope item value is zeroed out, this preference will determine if a blank or a zero displays.

Prime Bid Version 8.1

1. Vertical View as the Default Matrices View

Now in Prime Bid 8.1, the vertical view has been placed as a display in the matrices where the default display can be either in horizontal or vertical view and users can toggle from one view to the other if desired. The new vertical view as a default can utilize all of the functions from the matrix toolbar, vendor right click menu options and sections right click menu options, maneuvering from one matrix to another and the bid input for a vendor that moves from the base bid sequentially through the alternates. New Features in Prime Bid 8.1 for the Vertical View

The vendor contact, vendor phone number and DBE status display for each vendor at the top of the vertical view just beneath the bond calculation percentage. These rows can be turned on/off with a preference in the matrices preference window.

There is now the ability to hide/unhide scope items in the vertical view to display only the sections or sections with the complete list of scope items.

Section Notes, Bid Notes and Scope Item Notes now display in the vertical view in the new Floating Notes window (discussed below) in the vertical view. These notes are not limited to size (each note could be eight pages), so if you are on a scope item cell for a specific bidder, you could possibly see the section note for the section that the scope item is under, the bid specific note for that bidder, and the scope item note all displaying in the Floating Notes window. Notes can be input in the last (bottom) cell for a bid and they will display in the bid notes. As you move from one cell to another the notes in the Floating Notes window automatically update for the information related to that cell.

The "Grids" report is now automatically printed as the matrix report when in the vertical view.

The "Bid Report" now prints as the matrix scope items report.

There are now two new reports that use the vertical format of the matrices that print notes in the two matrices reports discussed in the previous two feature descriptions, these are detailed later.

Like the horizontal view, vendors and sections can be moved by dragging and dropping them into a new position. To move a vendor left or right, click on the vendor and hold the left mouse button down and drag the vendor to the desired position. To move a section up or down, click on the section row and hold the left mouse button

2. Scope Item Notes

Prime Bid 8.1 now includes notes for each of the scope items in a bid file. These notes display in the Floating Notes window when the cursor is in a scope item cell. Also these notes are a part of the new Proposal Report and Matrix Scope report. The scope item notes are not limited in length, but brevity in a hard bid is desirable since only a certain amount of note can be seen in the floating notes window, whereas long scope item notes may be desirable in soft bids with the new reports that display these notes. Many Prime Bid users were requesting that the scope item descriptions could be extended, the new scope item notes allow for lengthy qualifications of the scope items.

The scope item notes are created in the scope items worksheet, but can be edited and/or created in the floating notes window on the fly. Also scope item notes can be edited for a specific bid apart from the default scope item note. Scope item notes can be pasted into the notes window from another source, like a glossary from within a Word document or Excel file.

Another method of adding scope items with notes to a section is to copy the scope item from another bid file and pasting the selected scope items into the current bid. If there was a note in the previous bid file, the note will appear in the pasted scope item for the current bid. Another method is to use a master sections list with scope items with notes filled in for scope items when appropriate. You then start two instances of Prime Bid and copy the relevant scope items by section from the master file and then paste them into the new bid file. Of course the master file list of sections and scope items could be considered a "line item database" file where the scope items have unit prices. A budget number for a section of work could be made up of a list of scope items that have takeoff quantities and the section total for a cost category is made up of the total value of the scope items.

A default database file that includes over 2,500 scope items is available from Prime Software; this file facilitates a line item budget that may be one unit price cost by building square footage, takeoff by system in place cost, or a more detailed line item budget based on self-performed work on a detailed unit price by category to complete an assembly type cost for a section. The Prime Software Unit Price database is available for a one-time cost of $295.00.

3. Floating Three Pane Notes Window

In Prime Bid 8.1 there is a Floating Section Notes Window that can be launched from the View menu. This floating note window has been renamed to the Floating Notes window. The new window has the section note in the top pane, bid note for a vendor in the middle pane and a scope item note in the bottom pane. This new window will display the notes relevant to the position of the focus in each of the views. For instance, in the vertical view in the following screen shot, the focus is in the "7210.0 - Bldg Insulation" section, the "ANI" vendor and the "Tube steel metal frame w/ grille Typ1" scope item. So the floating notes window will display the relevant notes for each of these note types - section note, bid note and scope item note. Click to see a screenshot.

The amount of detail displayed on the screen will determine which notes will display. In the horizontal view, only a section and bid note can display since there are no detailed scope items displayed. In the sections view each filter has a different amount of detail that displays and as a result different notes will display (or not display) based on the position of the focus.

The floating notes window can stay "up" while moving through a bid or while moving within views and from view to view. The notes that display in the floating notes window will depend on where you are in the view and the notes will change as you move your cursor from on cell to another. The floating notes window is resizable and can be positioned on the screen to work efficiently with the information in the view so that you can see the information and the relevant notes at the same time on the screen.

All notes are now in a longer text format and can be pages in length if desired. Remember that the notes window is only so large, so place the most relevant information in the beginning of the note, or use notes that are not more than a few sentences long.

4. Proposal Report with Long Notes Printing

A new report is available that prints like the Scope Items filter, but incorporates the three types of notes from within the bid. The notes, when there are any, print immediately after the related item. The section will print followed immediately by the section note, then the scope item will print followed immediately by the scope item note. Also when a vendor name displays there will be a bid note printout beneath the row for the displayed vendor. The notes, when printed can, print all the way across the page between the section, vendor or scope item before the next item is displayed. Click to see a screenshot.

5. Matrix Scope Report with Long Notes Printing

The matrix scope report comes in two formats one with section and scope item quantities and units, and one without the quantities and units. The matrix scope report is arranged like the first few columns of the matrix vertical view showing the sections and scope items. The purpose of the matrix scope item reports is to detail the scope of work in a matrix for a subcontractor or supplier. These reports include the long notes that print directly beneath the sections and scope items for detailed purposes. Click to see a screenshot.

6. Summary View Bid Recap for Cautionary Bids

There is now a new bid recap that displays on the right hand side of the summary view for reviewing the bids from the matrices that have triggered the cautionary percentage. This new recap will show the matrix name, vendor name, vendor bid amount and difference amount to the next bid. All of the difference amounts will be totaled at the bottom of the recap. 7. Contacted Maybe Bid Confirmation Status

There is now a new bid vendor database confirmation status between the "Not Contacted" and "Confirmed Yes" titled "Contacted Maybe". This check box displays in the five Vendor Database - Bid Status filters. Click to see a screenshot.

Bid Items/Final Unit Price Closing Worksheet

  1. Import Bid Item Information During MC2-ICE Details Import

    Add the bid item field to scope items during the MC2-ICE details import. There will be a new crystal report file for ICE and the ability to capture the bid item field for individual takeoff items. The updated bid import files that result from the revised crystal reports for MC2-ICE allow for a primary sort sequence (usually phase or minor section) and for a secondary sort sequence to be used in the bid breakdown list in Prime Bid. Imported sections can then be automatically assigned to the imported sections.

  2. New Filter to Display Bid Items by Sections with Scope Items

    The new filter will sort by Bid Item, then by Section and then display the Scope Items. This allows for a complete review of the scope items in the bid file. Click to see a screenshot.

  3. Add the List of Current Bid Items in a Bid File into the Bid Item Selection Window

    This will allow the user to select from previously entered bid items from the bid item selection list instead of re-typing them each time they are assigning a bid item to a section. The list can come from the program database or from the list that is currently being used in the bid file. Click to see a screenshot.

  4. Final Unit Price Adjustments Worksheet

    This new worksheet will allow the user to adjust, balance/unbalance and/or modify the markup percentage by bid items. The allocation of the markups will be available in this worksheet. Bid Items can be locked for early resolution and all changes modifying unlocked items. This allows for re-distribution of costs and locking down items that are filled in on forms before closing the bid, after which all changes are processed into the unlocked items.   5. Balance/Unbalance Bid Items

    This will allow the user to enter an add or deduct to a bid item and have the worksheet balance the entry as a weighted average entry into the other bid item(s) that are unlocked.

  6. Lump Sum Adjustments to Bid Items

    This will allow the user to enter an amount to a bid item and then adjust by weighted average into the other bid item(s) that are unlocked.

  7. Tables for Headers

    Add a Tables menu to the right of the Filters menu. These tables are for Divisions, Sections, Bid Items, Bid Breakdowns, and Job Cost Phases. The fields displayed are relative to the type of header, most will include Code, Description, Quantity, Unit, Category Totals, Unit Price and Grand Total. Click to see a screenshot.

  8. Import Lists into Tables

    Add an import option to import fields for a table from a .txt file. This allows for the importing of a long list of bid items or bid breakdowns with quantities and units. The imported list will facilitate the assignment of the items to the sections in the bid file.

Summary View Enhancements

  1. Add Drop Down List of WBS Recaps to Display in the Summary View

    Allow the user to select from a list of summaries to display on the right hand side of the summary view. The included bid recaps are:

    • Divisions Display
    • Matrix Cut/Add
    • Matrix Summary (displayed below)
    • Bid Breakdown Summary
    • Job Cost Phase Summary
    • Summarized Sub Listing

  2. Add a New Buyout Analysis/Final Cut/Add Summary

    Add a final cut/add sheet to the summary view that has columns for Division Total, Buyout Total, Difference and Final Cut/Add. These cut/adds will sum to a new cut/add found next to the final cut/add. A buyout target can be set and the potential cut/add amount shown as a buyout savings. Click to see a screenshot.

  3. Add a New Addon Type for Allowances

    The new addon will be placed between the Total Bid Amount and the Sales Tax on Total Bid and named Allowances. These will be lump sum amount addons with a new toolbar button. Displayed above as the Artwork allowance and Carpeting allowance.

  4. Change Alert on Bid Summary

    Displays a background color for a bid summary header based on a change over the last X minutes interval. Displayed above with the recent changes during the last interval in the 15.0 Mechanical and 16.0 Electrical total amounts.

  5. Insert a Subtotal in the Base Bid + Alts Tab in the Tabular Window

    The user can insert a subtotal (that can be custom named) in the middle of the Base Bid and Alternate bids to get a summary of the rows above. This is helpful in CLIN estimating.

  6. Drill Down from Bid Recaps

    Double click on a bid summary item and the view changes to display more detail. A double click on a Division (Code or Description) would switch to the Divisions - Details section view for that division. A double click on a matrix name would switch to that matrix.

  7. Add Criteria for Range in the Indirect Costs and Markups

    Range by section From and To that allows for another criteria to narrow the scope of the addon. Click to see a screenshot.

  8. Add a Criteria for Exceeds Sub Bid Amount of X in the Indirect Costs

    One range is for subcontractor bid threshold - when a sub bid amount exceeds 100,000. Click to see a screenshot.

  9. Add a Summarized Sub Listing Filter to the Summary Displays

    This displays a sub listing summarized filter in the summary view.

  10. Adjust the After Bid Sales Tax to accommodate a Second Subtotal

    This displays a group of after bid sales tax items and a possible second group.

  11. In the Edit Bonds Window add a Lump Sum Amount to be added to the Total

    This allows for a building permit calculation that includes a step rate calculation and a fixed amount.

Alternates Enhancements

  1. New Alternates Analysis Capability - Solve for Selected Alternates

    This allows the user to select the base bid and selected alternates to get the best solution using the subs with the lowest bid amounts for the combination. The subs can be required for the base bid and selected alternates. Click to see a screenshot.

  2. Combine the Base Bid and Selected Alternates into a New Bid File

    This allows the user to create a new bid file from the costs of the base bid and selected alternates into a new bid file with only a base bid. All of the like sections from the base bid and selected alternates are added together into one section in the base bid in the new file. Each unique occurrence of a section is all placed in the new base bid.

  3. Reclaim All or Some of the User's Editing Rights During Closing Processes

    This allows the master user to reclaim all of the users editing rights during the closing processes of Alternates Analysis and DBE Analysis. Also in the Alternates Analysis the Master User could reclaim the editing rights to one matrix during the Use Low Base Bidders in Alts or in the Compare Base Bid + Alt, if the change is to only one matrix.

Other Enhancements

  1. New Bid Vendor Database Filter that Shows Vendors by "Sections" Sort

    Add a new set of vendor database filters to the existing filters that sort by main section, for a new set that sorts by sections. Multiple section vendors will display under each section.

  2. Clear All Bids from Matrices

    Allows the user to remove all of the bids from all of the matrices in the bid file.

  3. Display the Total of the Subcontractor Bond Calculations for the Matrices

    In the status bar on the Summary View, show the total of all of the subcontractor bond calculations that are from the individual subcontractor bond amount in the matrices.

  4. Copy and Paste Scope Items

    In the Scope Items Worksheet, allow the user to copy and paste individual or multiple scope items from one section to another. Also allow for two bid files to be open and to copy and paste scope items from one bid file to another bid file.

  5. Hide Status Bar and/or Toolbars

    Add a new option in the General Preferences to hide the status bars or toolbars from the three views. This allows for greater screen real estate while working to input information.

Broadcast Fax/Email Enhancements

  1. New "Preferred Method" option in the broadcast wizard

    Allow the user to have a fifth option for the broadcast fax wizard: "preferred method." This is the vendor's preferred method of receiving communication; fax or email.

  2. Broadcast wizard now two-part wizard

    Split the broadcast process into two separate processes: one for faxes and one for emails. Require the use of separate template documents for each process.

Vendor Data Enhancements

  1. Vendor database synchronization tool

    Compare a current vendor database with another database and update records based on some choices made by the user.

  2. Create editable user fields

    Edit user fields for vendor records to create a default list. Change user fields to have drop-down lists that are based off of editable fields.

  3. Sort columns by ascending/descending in the vendor database grid editor

    Allow the user to highlight a column in the vendor database grid editor and right click or click a button to sort by ascending or descending on any column. Also allows for multi column sorting.

  4. Find/replace in vendor database grid editor

    Allow the user to highlight a column in the vendor database grid editor and right click or click a button to do a find and replace of values in the column.

  5. Go to any field in the vendor database grid editor

    Allow the user to highlight a column in the vendor database grid editor and use the Go To field to go to the first match. User must first sort that column.

  6. New 5-scale vendor rating

    Changed vendor rating to have five default choices: 1, 2, 3, 4, 5. (A rating of 1 will turn the vendor record red in the edit bid vendor database window.)

  7. Allow user to color vendor name blue for customized uses

    Create option to use a check box to mark a vendor as "preferred" (and colored blue) for whatever internal use the user would need.

  8. New 10 contacts per vendor, and added title field

    Added seven more contacts to each vendor, and added a title field to each.

General Feature Enhancements

  1. Show the city, state, and main section in vendor lookup

    Users can now edit scope items, including adding scope items by cost category and changing the cost category total for each added or changed scope item value.
