This Privacy Policy explains how PrimeBid Energy, LLC (d/b/a PrimeBid) (“PBE,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you interact with our websites, proposals, and internal tools, including tools that integrate with third-party services such as Intuit QuickBooks Online.

1. Who this policy covers
This policy applies to (a) visitors to our websites and proposal pages, (b) prospective and current customers who submit information to us, and (c) authorized PBE personnel who use internal PBE applications connected to third-party services on PBE’s behalf.
2. Information we collect
From you directly
- Contact details you submit (name, email, phone, mailing address) and information about your property or project.
- Payment information you provide when placing an order. Payment card data is processed by our payment processor and is not stored on PBE servers.
- Communications you send us by email, text, web form, or phone.
Automatically when you visit our sites
- Standard log data (IP address, browser type, pages visited, referring URL, timestamps) and basic analytics about how the site is used.
- Cookies and similar technologies used to operate the site, keep you signed in where applicable, and measure usage.
From connected third-party services
With proper authorization from the account owner, our internal tools may connect to third-party services on PBE’s behalf. For example, our internal accounting and project-cost workflows may connect to Intuit QuickBooks Online using Intuit’s OAuth 2.0 authorization. When connected, we may access data such as chart of accounts, customers, vendors, invoices, bills, purchases, journal entries, classes, projects, and standard financial reports (e.g., Profit & Loss, Balance Sheet, Budget vs. Actuals).
We only access data from connected services when an authorized administrator has explicitly granted access through the service’s standard authorization flow, and only for the company file that authorized administrator selected.
3. How we use information
- To respond to inquiries and provide quotes, proposals, and orders.
- To design, schedule, and deliver work that you have engaged us to perform.
- To operate, maintain, and improve our internal business operations, including accounting, job costing, scheduling, and project reporting.
- To enable authorized PBE personnel to query and analyze PBE’s own business data through internal tools, including tools that use AI assistants to summarize, search, or report on that data on behalf of authorized personnel.
- To comply with applicable law, enforce our agreements, and protect the rights, property, and safety of PBE, our customers, and the public.
4. How we share information
We do not sell your personal information. We share information only as described below:
- Service providers and processors that help us operate our business — for example, hosting providers, payment processors, email and SMS providers, analytics providers, and the AI model providers that power our internal assistant tools — under contracts that limit their use of the information to providing services to PBE.
- Authorized PBE personnel who need access to perform their roles.
- Legal and safety disclosures when required by law, valid legal process, or to protect rights, property, or safety.
- Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to customary confidentiality protections.
5. AI assistants and third-party model providers
Some of our internal tools use AI assistants to help authorized personnel work with PBE business data. When an authorized person asks one of these tools a question, the question and the relevant results from connected systems may be transmitted to the underlying AI model provider in order to generate a response. We select model providers that offer enterprise terms intended to limit retention and prohibit the use of customer content to train general-purpose models. These tools are used by authorized PBE personnel acting on PBE’s behalf and are not exposed to external end users.
6. Intuit QuickBooks Online data
Where our internal tools are connected to Intuit QuickBooks Online, the following applies in addition to the terms above:
- We access QuickBooks Online data only after an authorized administrator of the relevant company file completes Intuit’s OAuth 2.0 authorization flow.
- We use QuickBooks Online data solely to support PBE’s own internal accounting, job costing, reporting, and operational workflows. We do not sell QuickBooks Online data and we do not use it to send marketing communications.
- Authorization tokens and any locally cached query results are stored on systems controlled by PBE and protected by standard access controls. Tokens can be revoked at any time from the Intuit account dashboard, which immediately ends our access.
- When an authorized PBE user queries QuickBooks Online data through one of our internal AI-assisted tools, relevant query results may be transmitted to the AI model provider as described in Section 5 in order to produce a response.
7. Data retention
We retain personal information for as long as needed to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements. Data accessed from connected services is retained only as long as needed to support the requested workflow, and authorization tokens are deleted when access is no longer required or when revoked by the connecting administrator.
8. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information in our custody. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your choices and rights
You may contact us at su*****@************gy.com to request access to, correction of, or deletion of personal information you have provided to us, subject to our legal and operational obligations to retain certain records. Administrators of connected third-party services (such as Intuit QuickBooks Online) can revoke our access at any time from the relevant service’s account dashboard.
10. Children
Our services are directed to property owners and businesses and are not intended for children under 13. We do not knowingly collect personal information from children under 13.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Effective” date above indicates when the current version took effect. Material changes will be reflected on this page.
